Designed for regulated practices with 2–50 staff that don’t employ internal IT.
Backup and Recovery for Ohio Practices
Document Backup comes on every workstation we cover and works quietly in the background, twice a day. It is for getting back a document saved on that computer.
Managed Backup is for what your practice can’t run without: your server, your shared drives, your critical computers, and the data Document Backup isn’t designed to protect. It can bring back a whole machine, not just the files.
What Each Backup Is For
Document Backup. Included on every workstation we cover.
It runs twice a day in the background and picks up the office documents saved on that computer. Deleted a file, or saved over one? Your staff can restore an earlier version themselves, at no charge. It doesn’t cover servers, shared drives, or most of the data your practice software keeps, and it can’t rebuild a computer.
Managed Backup. A separate service, priced per machine.
We set what’s backed up, how often, and how long it’s kept, machine by machine. It covers the whole system: the programs, the data they keep, the shared folders, and the way the machine is set up. If the hardware fails, it can bring the whole machine back on new hardware. Recovery testing can be added, so you have a record that a restore works. Pricing is on our pricing page.
“I wanted to take a moment to thank you again for the managed professional backup you convinced me to implement for my business. Whoever thought that within the next year a fire would destroy everything in my office. Capstone Technologies Group was able recover all my client data and other important information to what it was before the fire, quickly and painlessly. And what a relief it was to be able to tell my clients that their information was safe and restored, no worries! Thanks so much.”
Which Backup Does Each Computer Need?
Ask one question about each computer: if it were gone tomorrow, would a new computer and its documents get that person working again?
If yes, Document Backup may be all it needs. If the computer holds something nothing else has, such as the data a program keeps or a folder other people work from, it needs Managed Backup. If your staff save their work to a shared drive, the shared drive is the thing to back up. If you have a server, start there.
True of Both
Encrypted before it leaves
Your data is encrypted on your computer with AES-256, then sent over an encrypted connection.
Stored offsite
Copies are kept in data centers certified to ISO 27001 and SOC 2 Type II.
Read-only copies, kept automatically
Isolated, read-only copies of your backups are made automatically. They can’t be altered or deleted.
When You Need Something Back
A deleted or saved-over document. Your staff can restore it themselves at no charge, or we can do it for you.
A failed computer with Document Backup. Its documents can be restored onto the replacement. The programs and settings have to be set up again.
A machine on Managed Backup. A few files, a program’s data, or the whole machine can be restored. You can restore your own data if you prefer. For a whole-machine recovery, we recommend we do it.
Any restore we perform is hands-on work, billed at the hourly rate on our pricing page.
Questions
Only if everything your practice works on is office documents saved on each person’s own computer. A server, a shared drive, and most of the data practice software keeps are outside it. If your practice has records it is required to keep or protect, tell us on the call.
Microsoft 365 and Google Workspace backup is available as a separate service. It isn’t part of Document Backup or Managed Backup.
Encrypted and offsite: yes, with either backup. Tested: only where recovery testing has been added to Managed Backup. When you need it in writing, we write the answer from the records of what’s in place. That’s hands-on work at our hourly rate.
Schedule Your Backup Assessment
The call takes fifteen minutes. Tell us what your practice runs on and where people save their work, and we’ll go through your computers with you: the ones where Document Backup is enough, and the ones where it isn’t.
