Installing structured cabling through ceiling pathways to extend wireless coverage to the back gymnasium (April 2024)

 ## Background

Between 2011 and 2026, we supported the Springfield Family YMCA's IT infrastructure—from their initial website development through multiple network security upgrades and facility-wide WiFi expansion. This case study documents the specific technical implementations across that 13-year partnership, particularly the 2024 wireless connectivity project that extended coverage to their back gymnasium. The engagement concluded in January 2026 when the Springfield YMCA was absorbed into the Dayton YMCA organization.

  ## The Environment

The YMCA operated on a constrained nonprofit budget with typical small organization challenges: consumer-grade networking equipment, aging donated computers, and limited technical staff. Their facility included administrative offices, front desk operations, fitness areas, and a back gymnasium that initially had no wireless coverage.

  ## The Challenge

By 2024, member complaints about poor wireless connectivity in the back gymnasium had become frequent. The building's construction presented significant obstacles:

- Metal framing and dense ceiling construction blocked wireless signals
- No existing structured cabling to the gymnasium area
- Complex ceiling pathways requiring careful navigation
- Limited budget for professional installation work

The existing infrastructure required careful integration with new structured cabling while maintaining service to active programs and administrative operations.

  ## The Work

The installation required over one week of work due to the building's complex construction. Professional installers (paid at discounted nonprofit rates) ran new Cat6 structured cabling from the equipment room through ceiling pathways to the gymnasium area.

### Technical Implementation:

- **Structured Cabling:** Cat6 cable runs from equipment room to gymnasium access point locations
- **Network Equipment:** Managed switch providing VLAN segmentation (sold at cost to nonprofit)
- **Wireless Coverage:** Strategic access point placement for complete gymnasium coverage
- **Configuration:** Network programming and VLAN setup (provided at no charge)
- **Integration:** Connected existing IoT thermostats to new network infrastructure (provided at no charge)

  ## The Equipment

We installed enterprise-grade networking equipment appropriate for their environment and budget constraints. The managed switch provided proper network segmentation between guest wireless, staff operations, and IoT devices.

### Network Segmentation Strategy:

- **Guest Network:** Isolated VLAN for member wireless access
- **Staff Network:** Separate VLAN for administrative systems and front desk operations
- **IoT Network:** Dedicated VLAN for building automation (thermostats, security cameras)

This segmentation approach prevented guest devices from accessing administrative systems or building controls while maintaining ease of use for members and staff.

Aging, mismatched equipment replaced during the upgrade—typical of nonprofit environments operating on constrained budgets

  ## The Result

Completed equipment cabinet installation with professional cable management and structured conduit work

The completed installation provided reliable wireless coverage throughout the gymnasium while maintaining service to all existing operations. Member complaints about connectivity ceased immediately following the project completion.

### Project Outcomes:

- Complete wireless coverage in previously unserved gymnasium area
- Professional structured cabling installation meeting commercial standards
- Network segmentation protecting administrative systems from guest devices
- IoT thermostat integration for centralized building control
- Zero member connectivity complaints post-installation

The infrastructure remained operational and reliable through the organization's 2026 transition to Dayton YMCA management.

  ## The Broader Partnership (2011-2026)

The wireless expansion project represented just one phase of a 13-year technical partnership that included:

### Security Evolution

Multiple firewall upgrades from end-of-support Cisco PIX (2011) through SonicWall TZ series, adapting to changing threat landscape and budget constraints

### Website Development

Initial website creation and ongoing maintenance from 2011, providing member information and program registration capabilities

### Cost Management

Strategic sourcing of used equipment when appropriate, hardware provided at cost, volunteer programming work to maximize limited nonprofit IT budgets

### Ongoing Support

Continuous technical support for donated computers, network maintenance, and troubleshooting throughout the 13-year engagement

  > "We cannot speak highly enough of Capstone Technologies Group. Their amazing service and expertise have been extremely helpful in improving our operations at the Springfield Family YMCA. Capstone's team is not only highly skilled but also friendly and approachable. From minor troubleshooting tasks to major infrastructure projects like installing Wi-Fi throughout our facility, they have consistently demonstrated professionalism and a genuine commitment to our organization's needs. Their ability to remotely access our systems and promptly resolve issues has streamlined our day-to-day operations, allowing us to focus more on our mission of serving the community. The Wi-Fi installation they completed has greatly improved connectivity for our staff and members, enhancing the overall experience at our facility."

  ## What This Project Demonstrates

This case study illustrates our approach to nonprofit and small business IT infrastructure:

### Budget Reality

We understand nonprofit constraints. Hardware at cost, volunteer programming work, and strategic use of professional installers only where needed keeps projects financially feasible.

### Technical Standards

Budget constraints don't mean compromising on technical quality. Structured cabling, proper VLAN segmentation, and enterprise equipment create professional infrastructure.

### Long-Term Partnership

13 years of continuous support means we understand your environment completely—no learning curve, no knowledge transfer, just consistent reliable service.

### Incremental Improvement

Security and infrastructure evolved over 13 years as budget allowed—not all at once, but always moving forward with clear technical roadmaps.
